Benefits Systems Analyst

The Benefits Systems Analyst is responsible for the day-to-day administrative support for the company’s health and welfare and 401(k) plans.  Primary responsibilities will include invoice reconciliation and answering employees’ questions regarding health, dental, vision, short-term and long-term disability, life and AD&D insurance, defined contribution retirement plans, annual leave, holidays and other time off benefits.  This position will work closely with our third-party service providers on operational issues and will participate in benefits resolution.   
The Benefits Systems Analyst is assigned to the Human Resource Department and reports directly to the Compensation and Benefits Manager.    
  • Ensures the weekly inbound/outbound carrier files and contribution files are processed timely and correctly (ADP/BenefitWerks/Fidelity/Infinisource/Health Equity)
  • Works with our Payroll Team to troubleshoot benefit-related deductions, eligibility issues and reporting of taxable benefits
  • Manages the maintenance and storage of electronic payroll and benefit records in our HRIS and BenAdmin system
  • Performs audits of the BenAdmin system to include weekly/annual enrollments including benefit elections and payroll deductions
  • Serves as a subject-matter expert in benefit-related processes to the HR Team to ensure compliance
  • Submits online reporting to government entities as required  
  • Participates in the annual Benefits Enrollment process
  • Serves as a back-up to the HR Team as requested in establishing and/or modifying employee profiles into the HRIS
  • Manages HR Team SharePoint site to ensure access is current
Defined Contribution Plan Administration
  • Manages the 401(k) transactions on a weekly basis  (audits, reconciles, feedback files; invoicing; contribution uploads, etc.)
  • Performs the annual non-discrimination 401(k) testing and participates in the annual 401(k) audit
Invoice Processing
  • Process, audit, and reconcile all benefits billing and request associated payments accurately and timely on a weekly basis with A/P
  • Creates monthly chargeback reports for Shared Services Accounting Team (PEPM/Voluntary Benefits/COBRA/medical/life insurances)
  • Manage the Benefits SharePoint site for documentation of employee records, vendor documents, and invoicing; ensure all employee access is up to date
  • Perform audits of enrollment including dependents, contributions and other database information as necessary with third-party service providers (Health Equity/InfiniSource/Superior Vision/Delta Dental/BenefitWerks/Kaiser/BlueCross BlueShield of NC)
  • Manage COBRA transactions on a weekly basis (audits, enrollments, terminations, payments)
  • Assists with presentation and enrollment of benefits for new employees
  • Bachelor’s Degree in business or a related field required
  • Experience in Benefits administration, 401(K) and leave administration (FMLA, STD, LTD), desired
  • Must have ability to understand the way data flows, organization structure in HRIS, BenAdmin, and Payroll systems
  • Previous experience in manufacturing industry, a plus
  • Ability to work with highly confidential and/or protected information
  • Proficient in Microsoft Excel, Word, Outlook, and Internet Explorer  
  • Ability to communicate, verbally and in writing, effectively with co-workers; respond to employee requests, with high level of patience, diplomacy and tact. Excellent interpersonal skills to provide overall employee satisfaction
  • Strong administrative, communication, and organizational skills, with attention to detail
  • Maintains professionalism at all times, demonstrating courtesy and respect to employees and co-workers
  • Effective problem-solving skills
  • Ability to work under pressure in a fast-paced, time-sensitive environment with shifting priorities and multiple deadlines
